Job Title: Administrative Manager

Job Description

  • Plan, coordinate, and supervise all administrative procedures and systems.
  • Develop and implement office policies, systems, and procedures to improve operational efficiency.
  • Lead and manage the admin team, including assigning tasks, monitoring performance, and providing training.
  • Provide administrative support to travel consultants, customer service representatives, and reservation officers.
  • Assist with handling client queries, complaints, and follow-up on bookings or documentation.
  • Ensure the effective functioning of the office environment, including facilities, equipment, and utilities.
  • Oversee office maintenance, cleanliness, security, and logistics.
  • Monitor and manage procurement activities including sourcing, negotiating, and purchasing office supplies and equipment.
  • Maintain accurate inventory and fixed asset records.
  • Collaborate with HR in managing staff attendance, leave records, and disciplinary matters.
  • Ensure cost-effectiveness and compliance in all procurement transactions.
  • Monitor administrative expenditures and prepare department budgets.
  • Review and approve petty cash, travel reimbursements, and procurement requests.
  • Ensure adherence to administrative policies, legal regulations, and company standards.
  • Maintain confidential records, contracts, licenses, insurance documents, and reports.
  • Assist with internal and external audits.
  • Prepare weekly and monthly administrative reports for management.
  • Ensure the maintenance of a clean, safe, and functional office environment.
  • Coordinate repairs, IT support, and upgrades as necessary.

Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field. A Master’s degree is an added advantage.
  • Minimum of 5 years’ experience in administrative or managerial roles.
  • Strong leadership and team management skills.
  • Excellent organizational and multitasking abilities.
  • High proficiency in Microsoft Office Suite and familiarity with office management software.
  • Strong communication and interpersonal skills.
  • Ability to work under pressure and handle confidential information with discretion
